Typical Onboarding Process for OMS (On-Premise)

This is the typical onboarding process for setting up OMS for your company. Onboarding processes may vary depending on your system and committed services.

This does not apply to OMS Cloud.

Coordinator Assigned & Introduction Email Sent

Shortly after signing the agreement with your account manager, an Onboarding Specialist will be assigned to your company and an introduction email will be sent. 

You will receive instructions from your Onboarding Specialist when to work on a software installation, confirmation of company and point of contact on your company, and other information.

Installation

We will coordinate with you on a server installation. For typical installations, we use an application called AnyDesk which is for screen sharing.

If your company's IT Department has a separate way to connect to your server, such as a VPN or other preferred method (e.g. Zoom, TeamViewer), please let us know beforehand.

As stated in your agreement, in order to install OMS, as well as the server connecting to Pavo, your server must be our minimum specifications. Failure to do so may result in a delay of the go-live date.

If you anticipate having data not in English, such as Spanish or Traditional/Simplified Chinese, please let your coordinator know as soon as possible.

Data Conversion (if applicable)

Data Conversions are only applicable if your agreement contains a data conversion, and can be added for an additional fee.

  1. Organize your data from your previous system - We cannot delete data, you may want to delete some customer#, item#, vendor# that you no longer use or are duplicates. You may want to re-name your ID if necessary. The same initial characters for some ID’s can be inquired in some OMS inquiry screens. In the beginning, manual entries sound tedious but sometime this may turn out to be a good solution.
  2. You may use our existing utilities in your OMS System to import your customer file, vendor file, inventory file, if available. We will provide you the import csv file templates with explanations. This is a popular way, especially you do not want to release your data to us to convert.
  3. If you have any special concerns for your data conversion, please contact your coordinator.
  4. If you want to release your data for us to do data conversion, please schedule a time with your coordinator to facilitate data migration.

As a reminder, please always backup your data before we perform any data migration. After we have migrated your data to OMS, please immediately check the newly converted data and let us know if you have any questions.

Training (if applicable)

As outlined in your agreement, we offer dedicated time for training on how to use OMS. These training sessions can be held through phone, video conferencing solutions such as AnyDesk or Zoom, or on-site if applicable. Before these training sessions, we recommend you review the OMS manuals and Quick Reference for initial setup.
